This Privacy Policy explains how Quotely ("Quotely," "we," "us," or "our") collects, uses, stores, and shares information when you use Quotely.

Introduction

Quotely helps businesses manage quotes, invoices, bookings, expenses, catalogue items, payments, and client records. This Privacy Policy explains what information we collect, how we use it, when information may leave your device, and the choices you may have.

Based on the current app build, Quotely is primarily a local-first app. Core business records are stored on the device, local analytics are stored in the app database, and hosted cloud sync is not active in the current build.

1. Information We Collect

Depending on how you use Quotely, we may collect the following information:

Account and profile information such as username, hashed password, business name, business type, business number, email address, phone number, postal address, brand color, and logo image.
Client and contact information such as names, email addresses, phone numbers, addresses, notes, business numbers, and vehicle registration details if you enter them.
Business workflow information such as quotes, invoices, line items, bookings, payments, credit notes, expenses, receipt images, catalogue items, statuses, due dates, and timestamps.
Files and media you choose to add or generate such as logo images, expense receipts, temporary PDF files, exported backup files, and imported backup contents.
Usage information stored by the app such as screen views, feature interactions, route paths, event labels, timestamps, and related metadata used for in-app analytics.
Device integration data needed for app features such as notification permission state, local notification content for overdue invoices, and limited watch-sync payloads on supported iOS devices.

The current Quotely codebase does not request precise device location permissions for its core workflows.

2. How We Collect Information

We collect information:

directly from you when you create an account, complete onboarding, edit your profile, create records, upload a logo or receipt image, or import a backup;
automatically on your device when the app records local analytics events, creates reminders, processes recurring invoices, or syncs supported information to a paired Apple Watch;
through device and operating-system integrations when you use notifications, the photo picker, the file picker, printing, the share sheet, or external phone-call actions.

3. How We Use Information

We use personal information and related business data to:

operate, maintain, and improve Quotely;
authenticate you locally and keep your profile available across the app;
create, edit, organize, and display quotes, invoices, bookings, expenses, payments, catalogue items, and related reports;
generate branded PDF documents and support preview, printing, and sharing workflows;
show analytics and activity history inside the app;
send local overdue invoice reminders and process recurring invoice schedules;
support troubleshooting, security, fraud prevention, legal compliance, and enforcement of our terms or policies.

4. When Information Leaves Your Device

Quotely is not a public marketplace or directory in the current build. Your quotes, invoices, clients, bookings, and expense records are not published to other Quotely users by default.

Information may leave your device when you choose to share, print, export, or otherwise send information through external tools or device integrations.

Quote and invoice PDFs are generated into temporary local storage before you preview, print, or share them.
Backup exports package your data and selected media into a .qly file and pass that file to your device share sheet or selected destination.
Backup imports read data from a file you choose and can replace existing local data stored in the app.
On supported iOS builds, limited dashboard totals and recent invoice summaries may be transmitted to a paired Apple Watch.
If you tap a client phone action, Quotely may pass the phone number to your device dialer or calling app.

Once information is shared, printed, exported, or handed to a third party app or platform feature that you choose, that information may be subject to that third party's own terms and privacy practices.

5. Service Providers and Integrations

We do not sell personal information under this Privacy Policy.

The current Quotely build relies mainly on local device storage, but it may use third-party platform features and libraries to support app functionality, including:

operating-system notification services for local reminders;
photo-library and image-picker integrations for selecting logo images or other supported media;
file-picker integrations for choosing backups to import;
system printing and sharing services when you preview, print, export, or send generated files;
Apple Watch connectivity services on supported iOS devices;
external dialer or calling apps when you choose a phone action.

These providers or integrations may process information as needed to perform the function you requested on your device or through the destination you select.

6. Quotely Cloud and Future Hosted Services

Based on the current codebase, Quotely Cloud and hosted sync features are not active in the current build.

The current build does not perform active cloud sync for your local business records.

The current build does not use live Google sign-in for hosted account access.

The current build does not send local analytics events to a remote analytics platform.

The codebase includes scaffolding for future hosted services, secure token handling, and cloud sync. If those features are activated later, we may update this Privacy Policy and related disclosures to reflect the new data flows.

7. Data Retention

We retain information for as long as reasonably necessary to provide Quotely, keep your business records available on the device, support reminders and reports, maintain backups you choose to create, resolve disputes, and comply with legal or security obligations.

Because Quotely is primarily local-first in the current build, much of your data remains on your device until you delete it, overwrite it through an import, clear the app, or remove the app from the device. Files you export, print, or share may remain wherever you save or send them.

8. Security

We use reasonable administrative, technical, and organizational measures designed to protect information we control. In the current build, this includes local data storage, hashed password storage for local authentication, and secure device storage support for tokens used by future hosted integrations when applicable.

However, no app, device, storage system, or transmission method is completely secure, and we cannot guarantee absolute security.

9. International Data Transfers

Because Quotely is currently local-first, many processing activities happen on your own device. International transfers may still occur when you use platform features, share exported files, print through third-party systems, sync to an external destination you choose, or if future hosted services are enabled.

If information is transferred outside your country or region, it may be subject to the laws of the jurisdictions where the relevant provider or recipient operates, subject to applicable safeguards where required.

10. Your Choices and Privacy Rights

Depending on your location and applicable law, you may have rights to request access to, correction of, deletion of, or additional information about personal information we hold about you.

You may also be able to:

review and update business profile information inside the app;
edit or delete local records such as clients, quotes, invoices, bookings, catalogue items, payments, and expenses;
export your data through the backup feature;
control notification, photo-library, and similar permissions through your device settings;
contact us with a privacy request, complaint, or concern.

11. Children's Privacy

Quotely is not intended for children under 13, or any higher minimum age required by local law for digital consent, and we do not knowingly collect personal information from children in violation of applicable law. If you believe a child has provided personal information to us, contact us at gauravstudios2020@gmail.com and we will review the request.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to Quotely, our data practices, legal requirements, or service providers. When we do, we will update the "Last updated" date at the top of this page. Material changes may also be communicated through the app or another appropriate channel where required.
